A purchase order tracking spreadsheet should show what was approved, what the supplier confirmed, what actually arrived, and which invoice questions still need a decision. Keep those facts separate. A delivery date is not proof of receipt, and an invoice marked checked is not permission to pay.
Use the free register below to prepare up to four order lines, then export them to a spreadsheet. The blank CSV gives you the same headings for a larger list. This is an administrative tracking aid for home-service offices, not a purchasing system, accounting ledger, or technical parts guide.
Free purchase order register and blank spreadsheet
Start with an owner-approved order. Use one row per PO line and keep the same quantity unit throughout that row. Enter cumulative receipts from checked delivery records, not the quantity expected on the next truck. Leave an unknown field blank rather than entering zero to mean “not checked.”

No account or upload is needed. Entries stay in this page while it is open; they are not saved automatically. Export before closing or refreshing. Use non-sensitive record references instead of customer details, credentials, or payment information.

Calculation: open quantity equals ordered quantity minus cumulative received quantity. A negative result is kept visible as an over-receipt to check, not silently changed to zero. Blank or invalid quantities produce “Not calculated.” Only the calculated open quantity is rounded to four decimal places in preview and export. Entered ordered and received quantities retain their entered precision; use another system if you need a finer calculated result. No price multiplication, tax, freight, payment balance, or accounting entry is calculated.
The CSV exports values, not spreadsheet formulas. In Excel or another spreadsheet application, import it as CSV, check the columns, and save a working copy. A leading apostrophe is added to text that could be interpreted as a spreadsheet formula; PO identifiers beginning with formula characters may therefore display that apostrophe. The blank file contains headings only. Print uses the current preview, not empty editor boxes.
What each column is for
- PO and line reference: Use the actual approved order number plus its line reference. Multiple lines can share a PO number. Do not add their quantities together when units differ.
- Supplier and job reference: Identify the supplier and the internal job or office record. Keep the authoritative documents in your approved system, not in an open browser page.
- Approval record: Point to the authorization already given. The field does not verify approval or grant authority to order, substitute, or increase quantities.
- Description and unit: Copy the approved description and unit without choosing a different part. Send technical suitability or substitution questions to the authorized trade lead.
- Ordered and received quantities: Record the approved quantity and total confirmed receipts to date. Keep delivery dates and receipt references in the underlying record.
- Quoted line total: Copy the approved total for this line. Say in the source record whether tax or freight is included. Do not repeat an entire PO total on every line and then sum it.
- Expected date: Enter the latest supplier-confirmed date. It is not an installation commitment. Record a changed confirmation in the original job or order record.
- Invoice references and review: List the invoice references checked. “Checked against records” is a manual label, not automated matching or payment approval.
- Next action and decision owner: State the open question and who may decide it, such as “Ask supplier to confirm remaining delivery; manager approves any changed commitment.”
Keep partial deliveries visible
An order can be partly received while an invoice question remains unresolved. Avoid a single “complete” checkbox for both. Intuit's QuickBooks documentation describes linking multiple transactions to one purchase order and adjusting line quantities or amounts for the portion received or paid. That supports treating partial activity separately; it does not make this register an accounting integration.
For an illustrative office-supply line, suppose an approved order is for 10 units and two checked receipts record 4 and 3 units. Enter 7 as cumulative received, leaving an open quantity of 3. Do not replace 7 with the latest receipt of 3, or enter a promised shipment as if it had arrived. These are made-up values, not a client result or company policy.
If a later receipt takes the total to 11, the preview shows minus 1 and flags an over-receipt. Check for a duplicate entry, incorrect unit, or real delivery difference in the original records. The tracker does not decide whether to accept extra goods, return anything, or change the approved order.
Use the register for real home-service handoffs
For a plumbing office, a line can point to an already-approved supplier order and a documented return-trip record. The office tracks the supplier's confirmed date and asks the dispatcher before giving a customer any new appointment commitment. It does not select replacement parts or diagnose why a return trip is needed.
For HVAC installation administration, distinguish supplier-confirmed equipment delivery from crew scheduling. The install coordinator records confirmations; the responsible manager decides whether they support a changed installation date. An electrical office can keep a job reference alongside a material receipt without claiming that receipt resolves a permit, inspection, or technical suitability question. A roofing office can track approved material-order confirmations while the production manager retains crew and homeowner schedule decisions.
These are illustrative responsibility boundaries to adapt to your own policies. The register does not replace the receiving person's check or the authorized person's technical decision. Keep supplier correspondence, delivery records, and invoice copies together in the approved record so the next office person can find the facts behind a row.
Review invoice questions without implying payment approval
Compare the actual invoice references with the approved order and checked receipts. Record a concrete question when descriptions, quantities, totals, or the relevant order reference differ. A partial invoice may cover only part of an order, so an invoice amount that differs from the full quoted line total is not automatically an error. This asset deliberately does not calculate a payment amount.
Use “Question to resolve” until the appropriate person answers the discrepancy. Use “Checked against records” only after someone checks the named documents, and retain their review evidence in the underlying record. Your company's authorized payment process still governs payment. If several receipts, credits, or invoices are hard to follow in one row, move the work to the approved purchasing or accounting system instead of stretching this simple register into a ledger.
Maintain one working copy
Give the working spreadsheet a clear owner. Update it from actual confirmations and receipt evidence before using it in an office handoff. Microsoft's Excel guidance explains that filters temporarily hide rows and can be reapplied or cleared. Use that feature to focus on one supplier or unresolved invoice label, then clear the filter before concluding that no other open rows exist.
This guide concerns supplier orders, not a customer's service request. Use the separate work order tracking spreadsheet for administrative job follow-through and the task delegation template to document an ongoing assignment's decision boundaries.
When the owner is repeatedly chasing supplier replies and organizing office records, those recurring duties may fit a broader assistant role. Early Bird is a managed service built around one dedicated, full-time executive assistant with ongoing Early Bird support. It maps the full operating scope, onboards holistically, then stabilizes one priority workflow at a time. Maintaining approved order records can be part of that role, not the only disconnected task the assistant is hired to do. Explore assistant support for home-service owners or how Early Bird works.
